Chamber Meeting Minutes - November 15, 2012

Thursday November 15th Meeting called to order at 7:00pm

Those in attendance: Dorothy Wright, Keira Eule, Dale Wilcox, Tim Gannon, Susan Flynn, Keith Lyke, Connie Meierdiericks, Sue Gumbart, Richard Plienes, Peg Scofield, Fiona Phelan, Joe Gomez, Brian Fitzsimmons, Carrie Sassi and Sandy Miller.

New Members: No new members.

Approval of minutes from October 18th, 2012: Tim approved the minutes and Keith seconded it – All in Favor – motion carries.

New Business:
Middlesex Chamber of Commerce – Business to Business Expo November 26th- Dale mentioned that he has tickets to this event if anyone is interested in attending; it was rescheduled due to the hurricane.

Krier: Fiona mentioned that there were 100 photos received for the photo contest for the cover of the 2013 Killingworth Directory. All members voted and a photo was chosen. A photo of the board members was taken as well.

Committee Reports:
1) Marketing Director – Peg Scofield (Action items for Christmas at the farm) – Peg updated us on a few items pertaining to our upcoming Christmas at the farm event.
a. The tree will be placed on Sunday by the Lions Club behind the tents – it is a 28 foot tree.
b. Peg as well as other board members of the chamber are working to ensure adequate space for all of the vendors; currently 2 tents will be needed.
c. Peg is working on getting 2 food trucks, possibly a cupcake truck and a snack truck. Both trucks will need an insurance certificate and license.
d. Tim Gannon is waiting to hear back from the Cub Scouts as to whether they will be able to provide the hot chocolate at the event.
e. Carrie has decided to have a booth at the event.
f. Peg will be putting together a thank you to all of the vendors.
g. Eileen Boulay is on board with the children's choir to provide the music.
h. Joe suggested providing publicity in the paper as a thank you to TD Bank for their generous donation by having a photo taken of Connie handing the check to Peg.
i. Sandra will be stopping by some craft shows this weekend to entice vendors to participate in the Christmas at the farm event.
j. Sandra will be resending around the vendor spreadsheet to all board members so that final calls can be made.
k. Vendors will need to be there to set up their tables between 12:30-1:30pm.
l. A discussion was brought up regarding the weather which could affect the tents and tree; this will need to be prepared for ahead of time.
m. Table charts will be made once all vendors are confirmed.
Treasury Report: Submitted by Dorothy Wright. Tim approved the treasurer's report and Carrie seconded it. All in favor – motion carries. Dorothy commented that the check for $3000 from TD Bank has been received; this leaves the chamber with an ending balance of $22,296.90.

Meeting adjourned at 8:15pm.
Next meeting is set for December 20th.
